CSI - Thesis Monitoring Committee
The CSI must be formed in the first year only, after which the CSI members remain the same for the entire duration of the thesis.
Complete Adum instructions and CSI report to download at the bottom of the page.
Composition of the CSI
I. The committee consists of two members1 who hold doctoral degrees and are active researchers.
II. One of these members holds an HDR and is not a specialist in the thesis’s research field (justification required2). This member is affiliated with a UMR/UPR3 and is not affiliated with the laboratories of the advisors or the doctoral candidate.
III. The other member is a specialist in the thesis’s research field (no justification required; HDR not mandatory). He is external to the research teams to which the supervisors and the doctoral student belong4.
IV. The members of the CSI remain the same (unless there is a major impediment) for the entire duration of the thesis.
To the extent possible, one of the CSI members will be from outside the Grenoble site and outside the ED I-MEP².
1Exceptions may be made for a third member.
2The doctoral student will provide a brief justification to ed-imep2@univ-grenoble-alpes.fr explaining why this member is not a specialist in the thesis’s research field.
3UMR: Joint Research Unit - UPR: Independent Research Units
4They may therefore be part of the supervisors’ and doctoral student’s laboratory but must be external to the research teams.
Notes:
- When selecting CSI members, care must be taken to avoid any relationship of subordination with the doctoral student.
- A member of the CSI cannot be the rapporteur for the doctoral student's defense. However, they can be examiners and/or jury chairmen.
- In the case of a confidential thesis, a confidentiality agreement form is available at the bottom of this page. It must be signed by each member of the CSI. One copy is to be kept by the doctoral student and thesis supervisor. Another copy can be sent to the ED by email, where it will be kept in the doctoral student's file.
The CSI in practice
- See table for deadlines to be met.
- For the first CSI: submit the names of CSI members via your ADUM page (under “Individual Monitoring Committee”) + email the ED to briefly explain the choice of the “non-specialist” member.
- Progress report sent to CSI members by email prior to the CSI meeting.
- Organization of the CSI. The doctoral student has the CSI report signed by everyone (except the ED management) and then sends it to the ED via ADUM.
> For re-enrollment in the second year only:
A short interview is organized by the I-MEP² doctoral school with the doctoral student (non-scientific discussion to get to know the team).
Candidates for admission to the 4th year of the thesis:
If your thesis defense is before December 31 of the year, you are not required to organize a CSI and you do not have to re-enroll in the 4th year. You must provide us with your thesis defense jury 3 months before the date set for your thesis defense and your thesis defense file 2 months before the date of your thesis defense.
If your thesis defense takes place after December 31, you must re-enroll in the fourth year. If, in October, you have a thesis defense date for the beginning of the following year and a jury, you will complete a very simple CSI. This simply involves sending this information to the CSI members and the ED by email.
Candidates for admission to 5th year (or more) of thesis :
Please contact the Doctoral School (ed-imep2@univ-grenoble-alpes.fr).
CSI proceedings
The doctoral student submits a 5-10 page summary of his/her thesis work to the CSI members by e-mail at least one week before the CSI date. At the same time, this document will be posted on the student's ADUM profile (download the CSI leaflet at the bottom of the page).
CSI meeting
On a date chosen by all concerned (CSI members, doctoral student and thesis management team), the meeting with the members of the individual monitoring committee takes place in 4 stages as follows:
1. The doctoral student presents his or her research work and prospects during a 30-minute oral presentation;
2. This is followed by approximately 30 minutes of scientific exchange between the doctoral student and members of the CSI;
3. The doctoral student meets with members of the CSI to discuss the progress of the thesis, training already taken, supervision, working conditions, etc. Thesis supervisors DO NOT take part in this discussion;
4. Committee members meet with the thesis management team. The doctoral student does not take part in the exchange.
- 1. and 2. take place without the thesis supervisor, unless the doctoral student wishes his or her supervisors to be present;
- all interviews can be held by videoconference, if necessary.
CSI report
A report of the meeting is drawn up by the members of the CSI. It is the doctoral student's responsibility to have it signed by all parties (except the I-MEP² Doctoral School management) and to submit it to the I-MEP² Doctoral School via ADUM.
Re-enrollment
If all parties agree, the doctoral student will receive an e-mail from the I-MEP² Doctoral School indicating that he/she is authorized to re-enroll. The Doctoral College Registration Center will then contact the doctoral student to take further steps.
> For re-enrollment in the second year only: a short interview is organized by the I-MEP² doctoral school with the doctoral student (non-scientific discussion to get to know the team).
